Calenda
SaaS platform for workplace and hybrid work management, with full stack Ruby on Rails development

CalendaContext
Calenda is a workplace management SaaS platform by Reis Maia Ubitech: companies like FIEMG, PUC Minas, Hospital Nove de Julho and Eventim use it to book rooms, organize hot desks and build hybrid work schedules. In 2021 I worked as a full stack developer in Ruby on Rails, building and maintaining features of the platform.
Challenge
With hybrid work, the office no longer has a fixed spot for everyone. Companies needed to know who's coming in and when, book rooms and desks without spreadsheets, track occupancy and integrate it all with Google and Microsoft calendars, with a separate workspace for each company.

The promise and the dashboard
"The most flexible Workplace management platform" next to the product's real dashboard: today's meetings, the month's calendar, the booked workstation and the "Work from the office" and "Book a room" shortcuts.

Clients and the new normal
The logos of Calenda's users and the product's four pillars for returning to the office: gradual return, safe distancing, work schedules and occupancy reports.

The modules
Meeting rooms with check-in and check-out, assigned or flexible workstations and the interactive office map, which shows in real time what's free and who's where.
- 04 / 08
Integrations
Login, calendars and bookings connected to Google, Microsoft (Outlook and Azure) and its own API, so Calenda works alongside the calendars teams already use.
- 05 / 08
Room booking from the map
In the Smartrooms module, rooms are booked right on the office floor plan, in under 30 seconds, with approval rules by space, time slot or group of people.
- 06 / 08
App and tablets
The app books a room in three clicks or via QR code, and tablets on the doors show the room's schedule and allow check-in and check-out right there.

Tailored plans
A two-step calculator: the company picks the modules (Smartrooms, Hotdesks, Hybrid schedules, Services & Resources, People Hybrid Experience), adjusts rooms, desks and people, and compares the Pro Lite, Pro and Enterprise plans.

Each company's workspace
Each organization has its own address (organization.calenda.com.br) and logs into its workspace, with its own spaces, rules, users and integrations.

Takeaways
In B2B SaaS, every client has its own rules: who approves the booking, how many people fit, which calendar syncs. Working on Calenda taught me to build features configurable per workspace and reliable integrations with Google and Microsoft, because it's in everyday calendars that the platform proves its value.
